Building Your AI Personal Assistant

As an entrepreneur, I am constantly learning and investing in myself and my business. I take courses, listen to podcasts, read blogs and articles, and work one-on-one with experts.

Being a former teacher, I love to share what I have learned. There is so much information out there! With AI, you can get the information from a compilation of sources at once, but I am keeping it old school.

I am bringing you my biggest nugget through guest blogs. The first one is from Christine Reichenbach.

Christine is an AI expert. I met her in a group that we were both in and did an AI Upskilling Mentorship with her. It is an AI professional development program designed to help small business owners rapidly develop the skills to leverage AI as a productivity and strategic planning tool.

What I learned and the AI Agents that I created as part of this have allowed me to double my capacity and increase my productivity. That in itself paid for my investment, but an unexpected gain was looking at AI through the lens of making my life easier outside of my business.

You will read examples of both in Christine’s blog “Building Your AI Dream Team: From Budget Constraints to Unlimited Expertise”. This is a great introduction to exploring what you want AI to help you with.

It is the first thing Christine asked me to do in the AI Upskilling Mentorship program. Write down all the things you do at work for a week. ALL the things. Then we looked at what took the most time and was the least energizing for me. The things that I would hire someone else to do, if I had the budget.

This helped to decide which AI Agents I wanted to create for my business. And the results have transformed (yes, an actual transformation:) my workflow and capacity.

Building Your AI Dream Team: From Budget Constraints to Unlimited Expertise

When I worked at a top tech company in Silicon Valley, I had something most people only dream of: a $2,000 coaching budget paid for by the company. I had a nutritionist helping me lose postpartum weight, a wellness coach ensuring I maintained balance, a career coach navigating promotions and job searches, and a therapist helping me transition back to work as a new mom.

That experience gave me a glimpse of why success seems easier for the uber-wealthy. It’s not just money—it’s having the right support system. Specialized experts who understand your unique needs and can guide you through every area of life.

But here’s what I’ve discovered: you don’t need a Silicon Valley salary or corporate perks to build that dream team anymore. You can create it with AI.

What an AI Dream Team Really Means

An AI dream team isn’t just about using ChatGPT to write emails. It’s about having everybody you need without being constrained by budget. It means access to advice and expertise that meets all of your needs through specialized agents you’ve trained specifically for you.

I’ve built over 50 specialized agents and created two AI platforms that re-engineer entire manual consulting and coaching processes. This isn’t about replacing human expertise—it’s about extending it and making it accessible when you need it most.

Think about it this way: I have a writer that understands my exact tone of voice. I have a LinkedIn newsletter research expert that finds super relevant content and related articles. I have a LinkedIn post agent that knows which posts are resonating with my audience and focuses on those patterns when creating new ones.

Each agent is like having a specialist on retainer, available 24/7, who knows my preferences, style, and goals intimately.

The Two Lenses: Automation vs. Intelligence

When building your AI dream team, think through two distinct lenses: automation and intelligence.

Automation handles the repetitive, time-consuming tasks that drain your energy. This frees up your budget and mental capacity to invest in truly unique human expertise where it matters most.

Intelligence makes you better at what you do. AI becomes your thinking partner, not a replacement for thinking. This distinction is crucial because we’re at a pivotal moment—like 2007 before social media really took off. We get to choose how this technology shapes us.

If you stop using your brain and just defer everything to AI, you will experience cognitive decline. But if you use AI strategically as a thinking partner, you can become a better version of yourself and do better work.

Why Most People Get AI Wrong

When I see people first using AI, they’re making three critical mistakes:

They don’t give enough context. They’re not explaining why it’s important for the AI to get it right. They’re not talking to it like a human being, which I think is essential. They’re not giving it a persona or explaining how it’s been trained to be good at what it does.

They take the first or second output. This leaves so much value on the table. The magic happens in the iteration, in what I call “knitting”—constant refinement through better context and prompts.

They’re losing their human voice. Instead of having AI help them say what they mean to say, they’re having someone else say it for them.

They’re trying to do too many things in one agent. If you need multiple experts to do a task, it really shouldn’t be the same agent if you want to create simplicity. For example, I have a cover letter agent, a résumé update agent, and a LinkedIn agent. They’re all different, each specialized in their specific domain.

Here’s how I approach it differently: When I write an article, I think about a topic and have AI quiz me with questions. I voice memo my answers, then have AI help write it in my tone of voice. It’s hardly AI writing—it’s all my content. I’m not just saying “write this article based on this topic.”

Your First Exercise: Start Personal

I always start my AI cohort students with the same exercise: plan a trip for your family using ChatGPT.

This isn’t about travel—it’s about learning the fundamentals of building specialized agents. Think about planning from different perspectives. Plan the full thing end to end. Practice “knitting” through constant iteration.

Give it massive amounts of context. I’m talking multiple paragraphs. Give it data: three trips you’ve loved, three you hated, your top 10 restaurants, worst restaurants you’ve been to. Give it everything it needs to make the best recommendations for you.

By the time you’re done, you’ll understand how to build an agent that really knows you. And you’ll have planned an amazing trip in the process.

Building Your Business Dream Team

Once you’ve mastered the personal approach, scaling to business becomes intuitive. Here’s where most service providers miss a huge opportunity: your existing contractors.

Instead of seeing AI as a threat to your team, flip the script. Ask your contractors to help you train AI agents in their expertise. Your SEO contractor can help you build an SEO agent. Your copywriter can help you create a writing agent that understands your brand voice.

This is key to getting AI right—it still needs experts to train and manage output. Humans are very much still needed. A lot of times, you don’t just tell AI what to do; you tell it how to do it. And you need expertise for that.

What Your Team Should Know

For Business Owners: Your contractors are goldmines for AI training. They have the expertise to teach AI not just what to do, but how to do it well. Instead of paying for their time on routine tasks, you can leverage their knowledge to build agents that extend their expertise when they’re not available.

For Contractors: Position yourself as an AI trainer, not just a service provider. Help your clients build better agents using your expertise. This doesn’t replace you—it multiplies your impact and creates deeper client relationships.

For Teams: Document processes and decision-making frameworks. The clearer you can articulate how you approach problems, the better you can train AI to support (not replace) your thinking.

The Intelligence Amplification Approach

Remember, the goal isn’t to outsource your brain—it’s to amplify it. I use my nutritionist agent to help me meal plan within my allotted macros. I use a wellness coach agent to identify the lowest-rated area of my life and keep me focused on improvement. I have a startup business coach that helps me with strategy and pivoting quickly.

Each agent serves as a thinking partner in its domain, helping me process information faster and consider angles I might miss. But I’m still making the decisions. I’m still bringing the human judgment, creativity, and strategic thinking.

Building Your Dream Team: Next Steps

Start this week:

  1. Pick one area of your life or business where you need regular expert input but can’t afford constant access to a specialist.
  2. Use the trip planning exercise to practice giving context, iterating, and training an AI agent to know you deeply.
  3. Identify which contractor or expert in your network could help you train a business agent. Ask them to spend an hour teaching an AI how they approach problems in their domain.

The future belongs to people who can effectively collaborate with AI while maintaining their human edge. Your dream team isn’t about replacing human expertise—it’s about democratizing access to it.

You don’t need a Silicon Valley budget to have world-class support anymore. You just need to think strategically about building the right AI dream team for your unique needs.

The question isn’t whether AI will change how we work. It’s whether you’ll be intentional about how you let it change you.

Who is on your Dream Team? My favorite quote and one that I have discussed with Christine is this, “Remember, the goal isn’t to outsource your brain—it’s to amplify it.”

The pros and cons of AI are being hotly debated, and there is genuine fear about its capabilities and AI replacing humans.

How can we keep our human edge? Stay tuned for the next guest blog where we will look at this more…
